Rubicks AI ("we", "us") provides AI agent design, deployment, and management services for businesses. This policy explains what data we collect, how we use it, and the choices you have. If anything here is unclear, email us at hello@rubicks.ai; a human will answer.

Data we collect on this website

This site does not use advertising trackers and does not require an account. We collect:

• Contact information you give us: if you email us or book a call, we receive your name, email address, and anything you choose to share.
• Scheduling data: bookings are handled by Calendly, which processes your name, email, and selected time under its own privacy policy.
• Basic hosting logs: our hosting provider (Netlify) records standard server logs (IP address, request time) to operate and secure the site.

Data we handle during an engagement

When you become a client, our agents connect to systems you authorize, for example email, calendar, chat, and CRM tools. For that work:

• We request the minimum access scopes needed for the workflows you approve, using credentials you can revoke at any time.
• Your business data is used solely to operate your agents. We do not sell it, share it with other clients, or use it to train public AI models.
• Every agent action is logged, and those logs are available to you.
• Specific data handling, retention, and security terms are set out in each client agreement, which governs if it differs from this policy.

Service providers

We rely on a small set of processors to deliver our services: hosting (Netlify), scheduling (Calendly), and the AI model and productivity platforms configured for your engagement (for example, Anthropic and the workspace tools you already use). Each processes data under its own terms, and we only connect providers that an engagement actually requires.

Retention

We keep inquiry emails and booking details as long as needed to work with you. Client engagement data is retained per the client agreement and deleted or returned when an engagement ends, except where law requires otherwise.

Your rights

You may request a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it by emailing hello@rubicks.ai. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA, and we will honor them.

Changes

If we change this policy, we will update the date at the top of this page. Material changes affecting active clients are communicated directly.
